5 metrics every practice should track on patient outreach

If you can't measure it, you can't improve it — and “we called some people this week” isn't a metric. Five numbers tell you almost everything about how your patient outreach is really doing.

Call completion — the share of attempts that actually reached the patient. If it's low, your timing or phone numbers need work before anything else matters. Confirmation rate — of the patients you reached, how many confirmed or rebooked. This is the number that most directly protects your calendar.

No-show rate — booked visits where the patient didn't come. It's the outcome everything else is trying to move, so watch it against your baseline, not in isolation. Escalation (hand-off) rate — the share of calls passed to a human. You want this low, but not zero: zero usually means the agent is pushing through situations it should be escalating.

Average handle time — how long a typical call takes. Shorter is better for cost, but not at the expense of the patient feeling rushed; read it alongside confirmation rate rather than on its own.
